General Information on Data Processing
We process personal data only where this is necessary to provide a functional website, respond to enquiries, conduct the Association’s activities or protect our legitimate interests.
Personal data is not processed for advertising, analytics or profiling purposes. No automated decision-making, including profiling, takes place.
Hosting
This website is hosted by:
ALL-INKL.COM – Neue Medien Münnich
Owner: René Münnich
Hauptstraße 68
02742 Friedersdorf
Germany
The hosting provider supplies the technical infrastructure required to operate the website. In the course of hosting, technical data may be processed where this is necessary to provide, secure and maintain the stability of the website.
Where ALL-INKL processes personal data on our behalf, the processing is carried out on the basis of a data processing agreement pursuant to Article 28 GDPR. In addition, the hosting provider may maintain its own technical logs to ensure the operation and security of its infrastructure. Such processing is governed by the hosting provider’s privacy information and technical terms.
Anonymised Server Log Files and Statistics
Technical log files are generated when the website is accessed. Under the configuration currently in use, IP addresses are fully anonymised and are not stored in an identifiable form.
The log files may contain technical information about access to the website, including the time of access, the resource accessed, the transmission status, the amount of data transferred, and information about the browser and operating system used. The resulting statistical evaluations are used for technical monitoring, error analysis and improving the stability of the website.
The log files are deleted after the currently configured retention period of 999 days. Statistical evaluations may be retained for the same period where this is necessary for the stated technical and statistical purposes.
Since IP addresses are fully anonymised and no attribution to individual visitors is intended, the log files evaluated by us do not contain identifiable IP addresses.
Cookies and Comparable Storage Technologies
When this website is accessed in the ordinary course, no cookies are currently set and no information is currently stored in the Local Storage or Session Storage of the user’s device.
If cookies or comparable storage technologies are introduced in the future, they will be used only where this is permissible under Section 25 of the German Telecommunications and Digital Services Data Protection Act (TDDDG). Access to information stored on a user’s device may be carried out in particular where this is strictly necessary to provide a digital function expressly requested by the user.
No consent is required for such technically necessary storage technologies. No use is made of such technologies for analytics, advertising or marketing purposes.
External JavaScript Files and Content Delivery Networks
This website may use JavaScript files loaded through external content delivery networks. These may include libraries such as Bootstrap and Popper provided through servers operated by Cloudflare or cdnjs and StackPath.
When these files are loaded, a connection is established with the relevant third-party provider. In this process, the IP address of the accessing device, the time of access, the requested file and technical information about the browser and operating system may be processed. This processing is necessary to provide certain functions and visual features of the website.
The processing is based on Article 6(1)(f) GDPR. Our legitimate interest is the technically reliable, consistent and efficient provision of the website.
When these services are used, processing of personal data by the relevant provider outside the European Union or the European Economic Area cannot be excluded. Any such transfers are subject to the safeguards provided by the relevant provider, including, where applicable, standard contractual clauses or other safeguards recognised under Chapter V GDPR.
Contact by Email
If you contact us by email, we process the data you provide, in particular your email address, your name, the content of your message and any other information you voluntarily provide.
The processing serves to handle and respond to your enquiry and to take pre-contractual or Association-related measures. The legal basis is Article 6(1)(f) GDPR. Our legitimate interest is the proper handling of enquiries addressed to us.
Where your enquiry relates to entering into or performing a contract or to membership of the Association, Article 6(1)(b) GDPR may also apply.
We retain email correspondence only for as long as this is necessary to process the enquiry, conduct the Association’s activities or comply with statutory retention obligations.
Membership and Association Administration
For an application for membership, personal data provided in the relevant membership application may be processed. This may include, in particular, your name, address, contact details and information concerning membership of the Association.
The processing serves to process the membership application, administer membership and manage the Association’s affairs. The legal basis is Article 6(1)(b) GDPR. Where statutory retention obligations apply, processing is also based on Article 6(1)(c) GDPR.
The data is deleted as soon as it is no longer required for the stated purposes and no statutory retention obligation or legitimate reason for continued storage applies.
Event Registration
Where the Humboldt Moot Association e.V. accepts registrations for events, the data provided by participants is processed for the planning, organisation and follow-up of the relevant event.
This may include, in particular, name, email address, organisation or university, telephone number, attendance dates and other organisational information. The data required in each case is specified in the relevant registration form or invitation.
The legal basis is Article 6(1)(b) GDPR where processing is necessary to provide the event requested. Where processing is not directly necessary for the organisation of the event, it is based on Article 6(1)(f) GDPR. Our legitimate interest is the orderly organisation and conduct of events.
Health data, including information about allergies or intolerances, is collected only where this is necessary for the organisation of the specific event and an appropriate legal basis under Article 9 GDPR applies. Such information is used only for the relevant event-related purpose and deleted once that purpose no longer applies, unless statutory retention obligations require otherwise.
Event data is deleted as soon as it is no longer required for the organisation and follow-up of the relevant event. Statutory retention obligations remain unaffected.
Team Profiles and Association Members
The website may publish information about teams, former and current members, and office-holders. This may include, in particular, names, universities, roles, study status, education, moot court experience and comparable biographical information.
Publication serves to present the Association’s activities, document its team history and describe its previous activities. Where consent has been obtained, the legal basis is Article 6(1)(a) GDPR. Consent may be withdrawn at any time with effect for the future.
Where publication is based on a balancing of interests, the legal basis is Article 6(1)(f) GDPR. Our legitimate interest is public relations, documenting the Association’s history and presenting its activities.
If consent is withdrawn or an overriding legitimate interest exists, we will review the continued publication and remove or amend the relevant content where no overriding legal or documentary reasons require its continued publication.
Photographs and Images
The website may publish individual portraits, team and group photographs, and photographs taken at events.
The publication of individual portraits and specifically produced team photographs is generally based on consent pursuant to Article 6(1)(a) GDPR. Consent may be withdrawn at any time with effect for the future.
Photographs taken at events and group photographs may also be published on the basis of Article 6(1)(f) GDPR where they serve the general documentation and public relations purposes of the event and no overriding legitimate interests of the persons depicted oppose publication.
When taking and publishing photographs, we take into account the legitimate interests of the persons depicted. Photographs that particularly highlight or specifically portray individual persons will not be published without an appropriate legal basis.
Requests for the removal of photographs may be sent to vorstand@hma-berlin.de. We will review such requests without undue delay and remove or replace the relevant photograph where no overriding legal reasons require its continued publication.
Published Documents
The website may publish Association and event documents, including the Association’s statutes, membership information, event materials, competition materials and comparable documents.
Before publication, documents are reviewed for personal data. Names, contact details, signatures, participant lists and other personal data that are not required will be removed or redacted where their publication is not necessary for the relevant purpose.
Published documents are removed or updated as soon as they are no longer necessary for public relations or documenting the Association’s activities. Statutory retention obligations and legitimate documentary interests remain unaffected.
Sponsors and Cooperation Partners
The website may identify sponsors and cooperation partners by name and display their logos. This serves to provide information about support for and cooperation with the Association.
Where logos or names are displayed without a link, merely displaying them does not establish any additional connection to the websites of the relevant companies when this website is accessed.
Where external websites of sponsors or cooperation partners are linked, you leave our website when you access the link. The provider of the linked website is responsible for processing personal data on that website. Please refer to the privacy notice of the relevant provider.
Linked Social Media Services
The website may contain links to social media profiles of the Humboldt Moot Association e.V. or to social media content relating to events. No social media feeds or comparable content are embedded when our website is accessed.
As a rule, data is transferred to the relevant social media provider only when you access the relevant external link. From that point onwards, the privacy policy of the relevant provider applies.
Recipients of Personal Data
Personal data is made available only to those persons and entities that require it to perform the relevant task. This may include persons involved in Association administration or event organisation, as well as technical service providers.
Personal data is disclosed to other recipients only where this is necessary for the relevant purpose, required by law, based on consent or permitted under another applicable legal provision.
Transfers to Third Countries
The use of external technical services, in particular content delivery networks for JavaScript files, may result in personal data being processed in countries outside the European Union or the European Economic Area.
Such transfers take place only where the requirements of Articles 44 et seq. GDPR are met. This may include adequacy decisions, standard contractual clauses or other appropriate safeguards.

Subject to the statutory requirements, you have the following rights:
- the right of access to personal data processed about you pursuant to Article 15 GDPR;
- the right to rectification of inaccurate data pursuant to Article 16 GDPR;
- the right to erasure pursuant to Article 17 GDPR;

The competent authority may in particular be the Berlin Commissioner for Data Protection and Freedom of Information where the processing relates to the activities of the Humboldt Moot Association e.V. in Berlin.
